NSWPC EVENT FUNDING POLICY 

Strategic Objectives


NSWPC
encourages events that meet the following Strategic Objectives: 

  1. Sports Retention – A Certificate to C Certificate. 
  2. Sports Progression – Achieve new crests (Star, HU, HD, WS, CRW, CP).  
  3. Broaden Disciplines – Encourage members into new disciplines. 
  4. Canopy Progression – Safe and responsible canopy piloting at all levels of experience, especially focusing on lower experience jumpers. 
  5. Competition – Increasing participation at State or National Championships
  6. Sports Promotion – Promoting the sport to a wider public audience

The APF Strategic Plan has the key focus areas: 

  • Sport Development – Optimise participation while having fun and learning new skills. 
  • Enabling Development – Enhance skills, knowledge, enable personal and professional goals. 
  • Competition Development  – Facilitate competition opportunities.

The NSW Office of Sport also requires the NSWPC to dovetail our Events with the specified objectives in the Organisational Support Program – Funding Objectives FY 2025-26

The Fine Print

With the exception of Sports Promotion, all events must detail their plan to include quality coaching and how the event will improve safety. Applications will only be considered where the event clearly addresses one or more of the strategic objectives. Funds are available ONLY for skydiving events at NSWPC area dropzones. It is a core component of funding that NSWPC members are being encouraged to skydive locally. The NSWPC and APF funding guidelines are subject to change at any time. The NSWPC and the APF Fi Fund are restricted each year, and funds do run out. These guidelines are with effect 30Mar26. Previous Guidelines are here

Funding Sources

Funding is provided post event, subject to acquittal, and the event being conducted in accordance with the approved application. Two (2) primary sources of Funding exist:

Event Funding

Guide for Coaching Fees & Travel Expenses ▼

Coaches. Coaches may participate in jumps, or may ground coach. Coaches are typically expected to determine learning objectives. Provide detailed briefings. Provide video debriefs. Identify learning objectives for the proceeding jump. Provide feedback on safe and responsible skydiving and canopy piloting. Coaches completing these tasks would be expected to take approximately 40 minutes on the ground between jumps (plus packing time if self packing).Finally, coaches should have several documented seminars that could be presented in case jumping is suspended (or be prepared to forego coaching fees when jumping is suspended).

New Coach | Day Rate: $100 

Competed in the Open category of relevant discipline at a reasonable standard; has been recommended by Area Coach or NSWPC Coaching Delegate.
Coachee to Coach Recommended Ratio 4:1 

Experienced Coach | Day Rate: $200

Competed several times in Open category of a National competition in discipline to a high standard; Has sought coaching from national or international experts; recommended by Area Coach or NSWPC delegate as an experienced coach.
Coachee to Coach Recommended Ratio 8:1 

Expert Coach | Day Rate: $300

Extensive coaching experience; Extensive and current competition experience in discipline, preferably at international events; Sought international coaching from discipline leaders; recommended by State Coach or NSWPC delegate as an expert coach.
Coachee to Coach Recommended Ratio 12:1 

Load Organisers. Load organisers typically motivate jumpers by providing jump briefings, participating on jumps and debriefing without technical analysis. Their role is to put bums on seats and keep aircraft turning. As such, they can usually expect to spend more time jumping and less time debriefing. They may expect their slot to be partially or entirely covered by the DZ, but do not typically receive a fee.

Accommodation and travel expenses. These costs will only apply for coaches or camera flyers traveling to a non-local DZ. Event organisers are encouraged to use local camera flyers where practical. Reasonable expenses are expected, ie., cost of fuel, reasonable accommodation costs. In most instances, cheap accommodation options available on the DZ should be considered, and may be able to be considered as part of the DZ contribution.

Pre Event Tasks

Prior to submitting an application: 

  • Identify the NSWPC strategic objectives that will be met. 
  • Seek advice from experienced skydive event coordinators. 
  • Draft an event Plan 
  • Draft an event Budget. 
  • Determine the participant registration fee. A ballpark figure would be $25 per participant per event day. For example, an event attracting 10 participants for 2 days would be about the $500 mark.
  • Identify a date that suits the DZ and avoids clashing with other events by checking the APF Events and NSWPC Events
  • Approach the DZ for support (slots, accommodation, etc)
  • Submit an application to the NSWPC for funding
  • Ensure approval is received from NSWPC before conducting the event. 
  • Create Facebook Event page, invite APF and NSWPC as co-host. 
  • Develop promotional material, including NSWPC as a sponsor
How To Apply

Funding requests should be submitted no later than four (4) weeks prior to the event, via the NSWPC Event Funding Application form available at the top of this page.

Post Event Tasks

The following post-event tasks need to be completed before event funds are released. Note that you will need to quote your Event Approval ID, that was generated on your Event Application.

Pre Event Process 

  1. Event Organiser using the Google Form at the top of this page applies for the funding. 
  2. Area Coach reviews the application against the following references in order to recommend the objectives: 
    * APF Strategic Plan 
    * NSW Office of Sport Grant Objectives 
    * NSWPC Event Funding Policy 
  3. Treasurer is consulted against the following references in order to recommend an upper limit to the potential funding and advise of the funding source, i.e. APF funds, or NSW Govt funds and specifically which grant for Job Coding: 
    * NSWPC Budget Plan 
    * NSWPC Financial Position 
    * NSWPC Event Funding Policy 
  4. Area Coach – Area Coach responds to the applicant with the following minimum details and cc’s Chair, Treasurer, Media Officer.  
    * Decision on Objectives, especially if these need to be adjusted, repriortised or focussed. 
    * Decision on Funding Source(s). 
    * Decision on Upper Approval Limit
    * Provide Caution that funding is not guaranteed, subject to acquittal and changes. 
    * Provides References for these decisions, i.e. Event Funding Policy, APF Strategic Plan. 
    * Direction to Create Facebook Event page, with NSWPC as co-host. 
    * Direction on Social Media Tags for event imagery (refer footer on NSWPC website). 
    * Direction on Govt Logos as this is dependent on Objectives and thereby Funding Sources. 
    * Provide Media Officer point of contact, for further assistance. 
    * Advise on the Acquittal process, including any forms, templates. 

Post Event Process 

  1. Acquittal – Area Coach reviews the acquittal and recommends payment. 
  2. Payment – Authorised Council Member with banking access processes the payment. 
  3. Reconciliation – Treasurer reconciles the payment with the evidence and Job Codes. 
  4. Archiving – Records are retained in the Google Drive account executive.nswpc@gmail.com.
